HubSpot & Oniva – Keep your CRM up to date

Connect Oniva directly with HubSpot and ensure that registrations, attendance data and contact information from your events automatically flow into your CRM. New registrations are created as contacts in HubSpot, while existing profiles are updated automatically. This gives you a complete overview of your event leads and allows you to launch targeted follow-up campaigns directly from HubSpot. The native integration requires no intermediary tools and operates in real time.

👉 Note: The native HubSpot–Oniva integration will be released in Q3 2026.
Until then, webhooks can be used for a simple, one-way synchronisation.

Instructions

  1. Connect: Open the settings in Oniva, select HubSpot, sign in with your HubSpot account and grant the required permissions.
  2. Configure: Define which event data (e.g. registrations, attendance, cancellations) should be synchronised with which HubSpot objects (contacts, deals, lists).
  3. Activate & test: Enable the integration and perform a test registration to verify that the data is correctly transferred to HubSpot.

Requirements

  • HubSpot Free account or higher
  • Marketing Hub, Sales Hub or CRM Free
  • HubSpot API access enabled
    (HubSpot → Settings → Integrations)
  • Admin rights in Oniva
    Tenant admin permissions

Licence & pricing

  • Available on all annual licence tiers
    Supported for Basic, Advanced, Premium and Enterprise (not available for event-based licences)
  • Additional costs (if applicable):
    Standard API available as an add-on for Basic and Advanced plans (see pricing)

Use cases

  1. Post-event lead nurturing: Webinar participants are automatically captured as leads in HubSpot and assigned to predefined email nurturing sequences.
  2. Pipeline management for corporate events: Event registrations are reflected as deal activities in the sales pipeline, enabling account managers to act immediately.
  3. Segmentation & remarketing: Participants are segmented in HubSpot lists based on their event behaviour (registered, attended, no-show) and can be re-engaged with targeted campaigns.

Everything you need to know about integration

Are existing HubSpot contacts updated or newly created?

If a contact with the same email address already exists, it is updated. Otherwise, a new contact is created.

Are event cancellations also sent to HubSpot?

Yes, you can configure whether cancellations are logged as activities or status changes in the CRM.

Which HubSpot plans are supported?

The integration works from the HubSpot Free plan. For advanced automation (e.g. workflows), a Starter or Professional plan is recommended.

Can I connect multiple HubSpot portals?

Only one HubSpot portal can be connected per Oniva tenant.

Are custom HubSpot fields supported?

Yes, you can map custom fields from your HubSpot portal to Oniva data fields.
